Privacy Policy

Evertrail (“we”, “us”) operates evertrailtravel.jp, a directory of places and experiences in Okinawa, Japan, through which you can send booking requests to local hosts. This policy explains what personal information we handle and why, in accordance with Japan's Act on the Protection of Personal Information (APPI). Questions and requests: info@evertrailtours.jp.

• Booking requests: your name, email address, phone number, chosen date, party size, and any note you write for the host.
• Account details: your email address and name. We use one-time sign-in codes instead of passwords, so we never store a password. An account is created automatically when you make your first booking request.
• Host (vendor) details: business name, address, contact person, email and phone of hosts who list with us.
• Technical data: our hosting providers record standard server logs (IP address, browser type, pages requested) for security and reliability.

• To pass your booking request to the host and manage the booking (confirmations, declines, expiries, cancellations).
• To send transactional email: sign-in codes, booking updates, and reminders. We do not send marketing email without separate consent.
• To let you sign in and see your bookings.
• To keep the service secure and prevent abuse.

When you submit a booking request, we provide your name, contact details, and request details to the host you chose, so they can decide on and fulfil your booking. By submitting a request you consent to this. Hosts may only use your details for your booking.

We use trusted providers to run the service. They process data on our behalf and may be located outside Japan:

• Vercel (site hosting and image storage, USA)
• Neon (database, hosted in Tokyo, Japan)
• Resend (transactional email delivery, USA)
• Mapbox (maps — your browser connects to it when viewing a map, which discloses your IP address)

Where data is handled outside Japan, we choose providers with security practices that meet the standards required by the APPI. We never sell personal information and we show no third-party advertising.

We use strictly necessary cookies only: one to keep you signed in and, before public launch, one that remembers site-access. We currently use no advertising or cross-site tracking cookies. Your saved-places list is stored in your own browser and never sent to us.

We keep booking and account records for as long as your account is active or as needed to operate the service, resolve disputes, and meet legal obligations, then delete or anonymise them.

Under the APPI you may request disclosure, correction, or deletion of your personal information, and you may object to its use. Email info@evertrailtours.jp and we will respond without undue delay after verifying your identity.

All traffic is encrypted in transit (TLS). Access to personal information is limited to those who need it to operate the service.

We may update this policy as the service evolves. Material changes will be announced on this page with a new “last updated” date.
